Why are we providing you with this document?
FAEU Insurance Brokers (operating under the brand name Beneple) prioritizes the privacy and
security of your employees’ personal data. We are providing this notice to inform you of how we
collect, use, and protect your employees’ personal information during and after our engagement with
you. This is in accordance with Article 120 of the Decretal Federal Law No. (14) of 2018 on consumer
protection regulations.
It is essential that you understand how and why we use employees’ personal information and ensure
that they are aware of their rights in relation to this processing.
Purpose of this document
Throughout our services, we may need to collect detailed information about your employees’ personal
circumstances, including employment details, financial information, and in some cases, health data to
facilitate insurance brokering and policy management (“Personal Data”). This document explains how
we will handle this information and outlines the rights employees have over it.

What is Personal Data?
Personal Data refers to any information that identifies or relates to your employees’ personal
circumstances. This includes, but is not limited to:
● Basic details: Name, date of birth, gender, nationality, civil/marital status, and identity
verification documents.
● Employment-related data: Job title, salary, benefits, and other remuneration details.
● Financial information: Where relevant for insurance purposes.
● Health and medical information: Relevant to underwriting, claims processing, and policy
administration.
● Insurance-related information: Details of existing insurance products and coverage,
including terms and conditions.

Basis for processing Personal Data
The collection and use of Personal Data are necessary for entering into a service contract for
insurance brokering and policy management. This enables us to identify suitable insurance solutions,
arrange coverage, and manage policies efficiently. We also process this data under legitimate
business interests, compliance with legal obligations, including obligations to the UAE Central Bank,
and for meeting contractual requirements.

Processing of special data categories
If specific insurance solutions require it, we may need to process special categories of Personal Data,
such as health and ethnic information, to facilitate underwriting and claims handling. In certain cases,
this may also include processing data related to criminal convictions, where necessary for
underwriting or compliance purposes. We will handle this information with the highest level of
confidentiality and in compliance with applicable laws.

How is Personal Data collected?
We collect Personal Data primarily from the employees or their employer, through forms, emails, or
other direct communications. We may also use third-party sources (e.g screening software or
employer-provided information) where necessary to verify and support the insurance application
process.

How do we manage and secure Personal Data?
Personal Data is securely stored in our systems and accessible only to authorized personnel within
FAEU Insurance Brokers, with access restricted to purposes related to the services provided. We may
share this data with insurance providers or compliance service providers to progress applications,
manage policies, and ensure regulatory compliance.

Sharing of Personal Data
Personal Data may be shared with:
● Insurance providers, to arrange policies and manage claims.
● Third parties who assist us in providing services (e.g., compliance advisers, legal service
providers).
● Regulatory bodies, if required to meet legal obligations.
We ensure that any shared information is limited to what is necessary for the specified purpose and
does not entitle third parties to send marketing or promotional materials to employees.
Security and retention of Personal Data
We are committed to securing Personal Data against unauthorized access, with data stored securely
for a minimum of ten years, or longer if required by law. Employees should also take measures to
protect their own data when communicating with us (e.g., using secure email and encryption).
Employee rights concerning their data
Employees can:
● Request access to their data.
● Request corrections, deletions, or restrictions on data use.
● Withdraw consent for data use where applicable.
● Request transfer of data to another entity.
